Outbound email
Send emails and campaigns from your own domain: how to connect and verify it, the block editor, campaigns, templates, consent and unsubscribes, and what it takes from your plan.
Outbound email lets you send emails signed with your company’s domain: one at a time to a contact, or campaigns to many. It is in the menu under Email, with six tabs: Overview, Domains, Sent, Campaigns, Templates and Compose.
Step 1 — Connect and verify your domain
- In Domains, click “Connect domain”
Type your company domain (for example, yourcompany.com). Email never goes out from the root domain: it uses a subdomain, mail.yourcompany.com for transactional email and news.yourcompany.com for marketing.
- Choose what you will use it for
Transactional (confirmations, notices) or Marketing (campaigns, news). This keeps reputations apart and cannot be changed later without warming the domain up again: if you will do both, connect the domain twice, once for each use.
- Copy the DNS records
Click Show DNS records and paste them at your DNS provider: DKIM signature, SPF authorization, Sending MX and Sending SPF are required; DMARC policy is recommended. Each record has a copy button and an explanation.
- Click “Verify”
Once the records propagate (it can take a few minutes), click Verify. The platform checks your DNS and, if everything is there, confirms it with the sending provider. It does not verify on its own: if it is not ready yet, click again in a few minutes.
Each domain shows its reputation: “Warming up” until the first 50 sends, then “Good”, “At risk” or “Red” based on bounces and complaints. In red, marketing is paused until they come down; transactional email keeps going out.
Step 2 — Build a campaign
- In Campaigns, click “New campaign”
The editor opens. Choose From (the domain), the audience (every contact with an email, or those with a tag), the subject and, optionally, the preheader: the summary shown next to the subject in the inbox.
- Build the email with blocks
Heading, paragraph, image, button, divider, spacer, two columns and footer. Drag them to reorder and style them from the panel on the right. In Design you save your brand theme (colors, font, logo) for the whole organization. In AI you describe what the email is about and it proposes the subject and the blocks.
- Personalize with variables
With Insert variable you add the contact’s name, email, your company name or a custom attribute. Each variable carries a default value (for example, “Hi, {{contact.firstName|Ana}}”) so nobody gets a blank. Also add the Unsubscribe link to the footer.
- Send yourself a test
Send test delivers it to your email with sample data and the subject marked “[Prueba]”. You can send up to 10 tests per hour.
- Review and launch
Continue shows the preview and a check: what must be fixed before sending (empty subject, links without https, variables without a default) and recommendations. Then choose Send now or Schedule, and confirm.
A campaign that is sending can be paused, resumed or canceled. Its detail shows deliveries, opens, clicks, bounces and complaints, clicks per link, hourly activity and every recipient, with Export CSV. The open rate is a ceiling, not an exact measure: some email programs mark everything as opened.
Templates
In Templates you save email bodies to reuse in any campaign. There are factory templates (newsletter, promotion, welcome, announcement, event and more): they cannot be edited, but you can clone them and adjust the copy.
One email to one contact
In Compose you send a one-off email to a contact who has an email address, from a verified domain. You write the subject and the body (simple HTML is accepted), and the platform checks it before sending. The type —transactional or marketing— comes from the domain you choose.
Sent: what happened to each email
In Sent you see every email with its real status: queued, sent, delivered, bounced, marked as spam, rejected or not sent (suppression). Delivery, bounce, complaint and unsubscribe notices arrive on their own. Open one to see its timeline and, if it did not go out, the reason.
Consent, unsubscribes and suppression
- Marketing only to people who agreed. A marketing email only goes to contacts whose consent was granted through a web form, an inbound message or a recorded call; a contact imported from a list is not enough. Without it, the email is recorded as “Not sent (suppressed)”, with no error.
- One-click unsubscribe. Marketing emails carry the header that lets people unsubscribe from their own email program. Also add the Unsubscribe link to the footer: the page asks for confirmation and, once confirmed, the person receives no more.
- Automatic suppression. Anyone who unsubscribes, marks an email as spam or has a permanent bounce stops receiving email, even with consent.
- Physical address. The check warns you if a marketing email does not show your company address: many laws require it.
Free trial and cost
During the free trial you can send up to 200 transactional emails at no cost; marketing campaigns are not sent until you activate a plan. On a plan, email uses the same balance as your calls: if your plan has an email rate, each accepted send takes from it at that rate.
Who can do what
- View (email): see everything and verify domains.
- Operate: compose, send tests, create and launch campaigns, and manage templates.
- Manage: connect and disconnect domains, and save the brand theme.
Can I send from my root domain (yourcompany.com)?
No: email always goes out from a subdomain (mail. or news.) to protect your main domain’s reputation. The sender is no-reply on that subdomain.
I clicked Verify and it says the records are still propagating.
That is normal: DNS can take a few minutes. Check that you copied the required records exactly and click Verify again.
Why does an email say “Not sent (suppressed)”?
The contact unsubscribed, marked an email as spam, had a permanent bounce or has no marketing consent.
