Meetings

Meeting assistant

Invite the notes assistant to your Google Meet, Zoom, or Microsoft Teams meetings: it records, transcribes by speaker, and delivers a summary where every claim carries its evidence.

Beyond calls, Enlassa AI takes notes in your meetings. Invite the assistant to a Google Meet, Zoom, or Microsoft Teams video call (or upload a recording) and minutes later you get the speaker-by-speaker transcript, a structured summary (decisions, action items, risks, and open questions), and the audio to listen back.

Inviting the assistant to a meeting

  1. Open Meetings

It lives in the side menu, in the operations section.

  2. Invite the bot

Click Invite bot and paste the meeting link (Meet, Zoom, or Teams).

  3. Admit it to the room

The assistant joins as one more participant, using your bot name. If the room has a lobby, admit it like any guest: if nobody admits it, there is no audio to process and the meeting is marked as failed explaining exactly that.

  4. Open the result

When the meeting ends, the status turns Ready within minutes and you can open the detail.

Have a recording of a past meeting? Use Upload audio (mp3, mp4, m4a, wav, webm, or ogg) and get the same result: transcript, summary, and evidence.

Meeting states

  • Scheduled — the assistant is set to join.
  • Capturing — it is inside the meeting, recording.
  • Processing — the meeting ended and is being transcribed and summarized.
  • Ready — transcript, summary, and audio available.
  • Failed — something went wrong; the detail offers Retry.
  • Cancelled — you cancelled it before it joined.

The detail: a summary with evidence

What makes this assistant different: every decision, action item, or risk in the summary carries its verbatim quote, taken word for word from the transcript. Click the quote and the player jumps to the exact second it was said. If a claim has no textual backing in the conversation, it is flagged as unverified — we never ask you to blindly trust the AI.

  • Transcript with real names — every turn shows the name the person joined the call with (not "Speaker 1"), with its timestamp; click a line to listen to that moment.
  • Structured summary — overview, chapters, decisions, action items (with owner and due date when stated), risks, and open questions.
  • Audio — player with 1×/1.5×/2× speed and download.
  • Action items with owners — if the meeting said "Marcela sends the proposal on Friday", the item shows its owner and deadline.
  • Export — download the summary as a professionally formatted PDF (with the evidence quotes) or as Markdown to paste anywhere.

The detail in tabs: video and analytics

A meeting detail is organized in tabs: Summary (with the transcript alongside, so you can see the quote behind every claim), Transcript full-width to read it like a document, Video, and Analytics. The header with status, duration, and retention stays visible throughout.

  • Video — if the meeting was recorded with picture, this tab plays the video in sync with the transcript: click a line and the video jumps to that second. It only shows up when there is video stored — we never offer you an empty tab.
  • Analytics — how much each person spoke (out of talk time, not meeting duration), how many turns they took, their pace in words per minute, the meeting's silences, the typical time to respond, and the longest uninterrupted stretch.
  • How the conversation moved — a chart of the meeting end to end: where dialogue was dense and where it went quiet.
Analytics are computed from the transcript already stored: no AI usage, no extra cost to you. Every number states what it is computed against — a percentage without its denominator is an opinion, not data.

Let the assistant join on its own

In Settings → Meetings you connect your calendar and choose which meetings it joins by itself: All with a link or Only if I organize. The assistant schedules itself for your upcoming meetings (up to 48 hours ahead) and will also join one that already started, if it just began. If you cancel the event in your calendar, the assistant does not go.

A meeting without a video-call link cannot be recorded: there is nowhere to join. Those are flagged as "No video-call link" in your upcoming list, and meetings that are In progress stay listed until their calendar time ends.
  • If you cancel a scheduled meeting, the assistant is withdrawn and the meeting stays in your list as Cancelled. It does not disappear, on purpose: that mark is what keeps your calendar from scheduling it again on its own.
  • If you disconnect your calendar, any scheduled meetings are cancelled and their assistants withdrawn. Nothing stays scheduled behind the scenes.

The summary reaches your inbox

When a meeting becomes Ready, you get an email with the summary — decisions, action items, and risks — plus a button to open the full detail in the platform. You do not have to remember to check: the result finds you.

  • Where it lands: the email of the calendar the meeting was scheduled with. If you invited the assistant with a link (no calendar), it goes to your account email. In Settings → Meetings you can set another address and see which one it is using today.
  • To attendees too, if you want: tick the box and every attendee with an email on the invite gets the same summary. It is off by default: sharing what was said in a meeting is your call.
  • The subject carries the point: the meeting's first decision goes up front, so you recognize it in your inbox without opening it.

Invite the assistant from your own calendar

The assistant has its own email address. Add it as a guest of your event — just like a person — and it joins at meeting time. No calendar connection, no link to paste, and because it stays in the guest list, everyone sees up front that it will be recording. The address is in Settings → Meetings, with a button to copy it.

  • If you move the event, the assistant moves with it. If you cancel it, it does not join.
  • The summary goes to whoever organized the meeting — the same email hierarchy as always.
  • Recurring series: for now only the first meeting of the series is taken, not all of them.
  • All-day events or events without a video link are not recorded: there is no room to join.

The assistant introduces itself in the chat

On joining, the assistant posts a message in the meeting chat saying who it is and that it will record and transcribe so everyone gets the summary afterwards. That way nobody is caught off guard: the notice is in writing, with your assistant's name, in your account language.

Google Meet, Zoom, and Microsoft Teams support the chat message. On platforms that do not allow it, the assistant still joins and everything else works the same. The text can be changed or turned off per account — ask your administrator.

Your assistant, with your name and photo

In Settings → Meetings you can give your assistant its own name (for example, "Laura's Notes") and upload a photo (JPG) shown as its camera when joining. It is a personal setting: each user configures their own.

What a meeting consumes

Meetings are paid from the same plan as your calls: there is no separate bucket and no per-seat charge. Your plan is a single balance and you spend it on calls, on meetings, or on both, whichever suits each month.

  • A minute of meeting costs less than a minute of call — quite a bit less: on the Starter plan, every meeting minute draws about a third of a plan minute.
  • Every meeting shows what it consumed: its detail shows billed duration, how many plan minutes it drew, and the cost — same as a call detail.
  • The meetings list has a Usage column so you can compare at a glance.
  • In Plan & billing the usage bar adds both up and tells you where it went: this many minutes on voice, this many on meetings.
  • Per-meeting minimum: a 2-minute minimum is billed, because processing a 20-second meeting costs almost the same as a two-minute one.
If your plan runs out, meetings keep working and the excess shows on your next invoice, just like calls. You can cap overage in Plan & billing. There is also a per-cycle meeting ceiling, set well above what your plan yields in meeting hours: if you reach it we say so in those words, and your call minutes stay available. During the free trial there is no invoice: when the balance runs out things pause and you activate a plan to continue.
The free trial covers meetings too: they draw from the same trial balance, so 20 minutes covers a one-hour meeting.

Retention and privacy

Every meeting shows when it gets deleted: when retention expires, the audio and transcript are truly removed (we verify the deletion). The audio lives in the platform storage from the moment the assistant leaves the meeting. Meetings are also private: each user sees only their own — only the organization administrator can see all of them.

The assistant always joins identified by name — never covertly. Recording a meeting may require participant consent depending on your country: give notice when you invite it, as with any recording.
How many meetings can my organization record at once?

Up to 5 active assistants at the same time, with a monthly minutes quota. If you need more, talk to your account executive.

Which languages does it support?

Spanish and English. Your organization language guides the transcription and sets the summary language.

Can I delete a meeting?

Yes: from the detail, Delete removes the audio, transcript, and summary immediately (requires the meetings management permission).
